Running & Navigating the Purchase Alert

The Purchase Alert is a BLUEcloud Analytics report that indicates patron demand for items at your library as well as the entire consortium.

Running the Purchase Alert

  1. In your web browser, go to BLUEcloud Analytics (https://bca.seolibraries.org).
  2. After logging into BLUEcloud Analytics, navigate to:
BCA OHIO > Shared Reports > SEO REPORTS > HOLDS >Purchase Alert
  3. After clicking on the Purchase Alert report, you will be prompted for Hold Pickup Library Code and Item Library Code. Input your library/libraries into both selections.

  4. Click Run Dossier.

Navigating the Purchase Alert

Once the Purchase Alert finishes running, three different reports will be available.

You can view the reports by clicking on the title on the left-hand side of the page.

Local Holds

This report displays items that your library system owns with active holds by your library patrons. It indicates items your library may want to purchase additional copies.

By clicking on a Control # in the Local Holds report, you can view your copy information and hold pickup information.

Items You Do Not Own

This report displays items your system does not own but your patrons have active holds. It indicates items that your library may want to purchase to meet your patron demand.

By clicking on a Control # you can view hold pickup information.

Consortium Holds

This report displays all consortium items that have active holds by any library patron. It indicates items that are popular in the consortium that your library may want to purchase if you have not yet.

By clicking on a Control # you can view your hold pickup information, if any.

Exporting the Purchase Alert

Due to the format of the Purchase Alert being three reports, SEO does not recommend subscribing to the purchase alert via e-mail or saving it as a PDF. Instead, you can export each report as an Excel spreadsheet.

To export a Purchase Alert report as a spreadsheet:

  1. Move the mouse pointer to the upper right corner of the report you wish to export. A meatball menu will appear.
  2. Click on the menu, hover over Export and select Excel.
  3. The report will be downloaded to your default Downloads directory on your computer.

Finding Purchase Alert Titles in WorkFlows

You may want to look for a title in WorkFlows that is on the purchase alert. You can use the Control Number listed in the report to search for the title.

  1. In Symphony WorkFlows, click on the Item Search wizard (or Call Number and Item Maintenance/Modify Title wizard if logged in as a TECH user).
  2. Change the Search Index to Title Control #. The search type can remain at Browse or be changed to Exact.
  3. In the Search for box, input the Control # form the Purchase Alert.
  4. Click Search.
