Manage Hold Shelf Wizard

Managing the Hold Shelf

When Available holds have expired, been cancelled, or suspended while on the hold shelf, the Manage Hold Shelf Wizard must be used to break the tie between the patron and the item. This ensures the item can move on to the next requester or return to the shelf.

1. Accessing the Manage Hold Shelf Wizard

  1. From the CIRC toolbar, click on the Manage Hold Shelf wizard located in the Holds group.
WorkFlows CIRC toolbar highlighting the Manage Hold Shelf icon.
  2. A list of holds requiring processing will be displayed.
The Manage Hold Shelf main screen showing a list of inactive holds.

2. Processing Holds

  1. Locate the item in the list and click to select it.
  2. Click the Process Selected Inactive Holds button.
The 'Process Selected Inactive Holds' button located at the bottom of the window.
  3. A Next Actionbox will appear with instructions for the item. There are three common results:
    ReshelveFill Next HoldTransit
Next action: Reshelve the item.Next action: Item will fill another hold.Next action: Send item to another location.
The item should be returned to your shelves. The item will now stay on your shelf to fill a new hold. The item must be sent to a different library.
  4. Click Close.
  5. The item will now appear in the "Processed" area of the wizard.
The lower half of the wizard window showing processed items.
Frequency: Process this list daily. If neglected, items remain stuck in "HOLDS" status and will never be selected to fill other requests.
Missing Items: If an item is on the list but cannot be found, check it out to your XYZMISSING user (if owned by your library). If it belongs to another library, contact them so they can mark it missing.

3. Printing a List of Items on the Hold Shelf

Due to a known bug in WorkFlows (UNI-41302), using File > Print will print the entire hold shelf, including active holds. To print only the items that need to be removed (Expired, Cancelled, and Suspended), follow these steps:

  1. Open the Manage Hold Shelf wizard and highlight the items in the list.
  2. Press CTRL + C on your keyboard to copy the list.
  3. Open a blank Microsoft Word document.
  4. Press CTRL + V to paste the list.
  5. Print the document to use as a pull-list for your hold shelf.
