Missing Items Best Practices

Library staff should only mark items belonging to their own library as missing. Do not mark other library’s items as missing. In most cases, items are marked as missing by checking them out to the XYZMISSING user, where XYZ is your library code.


Stacks

If an item cannot be located in the stacks:

  • Check the item out to your XYZMISSING user.
  • If the item appears on the OnShelf Items list, you may use the Mark Item Missing button instead.


Hold Shelf

For items missing from your hold shelf:

  1. Shelf Check
    • Search the stacks and double check the hold shelf for the item.
    • If found, check it in to generate a hold slip.
  2. Patron Contact
    • Call the patron to confirm whether the item was checked out.
    • If the patron has the item, check it out to them.
  3. If the item is still missing
    • If the item belongs to your library: Check it out to your XYZMISSING user.
    • If it belongs to another library:
      • Contact the owning library and ask them to perform a shelf check.
      • If found, the owning library should check the item in to generate a transit slip.
      • If not found, the owning library should check the item out to their XYZMISSING user.


Statewide Delivery

On the 10th of the month, the List of intransit items by Item Library report will be available in WorkFlows.

For each of these items:

  • Check your stacks for the item. If found, check the item in.
  • Contact the sending/receiving library to see if the item is on their shelves.
  • If the item has been in transit for over 30 days:
  • Items in transit for more than 60 days will automatically be marked as missing.
