Routine Maintenance Best Practices

The following is a list of routine maintenance tasks that the library must perform on a regular basis. Optional tasks are noted accordingly.

Daily Tasks

  • OnShelf Items (Wizard in WorkFlows)

    • Purpose: Process items with active holds.
  • Manage Hold Shelf (Wizard in WorkFlows)

    • Purpose: Handle expired or cancelled holds that are still on the hold shelf.
  • Hold Shelf Phone List (Report in WorkFlows)

    • Purpose: Notify patrons with "STANDARD" notification method about available holds.
    • Note: Not needed if your library uses Unique Management for automated calls.

Monthly Tasks

  • Missing Report (BLUEcloud Analytics)

    • Purpose: Locate items marked as missing.
  • Mending Report (BLUEcloud Analytics)

    • Purpose: Identify items marked “In Mending” that may not have been checked in after repair.
  • Lost Report (BLUEcloud Analytics)

    • Purpose: Identify items that have been checked out but missed a checked in.
  • Available Soon - Current Location (BLUEcloud Analytics)

    • Purpose: Identify cataloged items that haven’t been checked in.
  • Unknown Item Type (BLUEcloud Analytics)

    • Purpose: Detect items with an UNKNOWN item type for correction.
  • In Transit Report (Report in WorkFlows)

    • Purpose: Locate items that may not have been checked in after return or were not sent as expected.

Yearly Tasks

  • Patron Purge (July)

    • Purpose: Remove inactive patrons from the database.
  • Bill Purge (February) (Optional)

    • Purpose: Remove old, unpaid bills.

Optional Tasks

  • List of User Holds Expiring Soon (BLUEcloud Analytics)

    • Purpose: Extend holds nearing expiration.
    • Note: Holds with no fillable copies should be allowed to lapse.
